During the IQusion Days event, LLC IQUSION IT (iQusion IT) showcased the capabilities of applying artificial intelligence in systematic business process management. The presentation demonstrated new functions of the Scriptum system, which allow for the integration of AI tools at specific stages of processes, automation of routine tasks, and enhancement of organizational efficiency.

The key theme of the presentation was the transition from using artificial intelligence as an external tool to its direct integration into corporate systems. This approach allows for the utilization of AI capabilities where they provide the greatest benefit, while maintaining full control over process execution.

From Automating Individual Actions to Intelligent Process Management

Modern business process management (BPM) systems ensure the formalization of procedures, task routing, deadline control, and interdepartmental interaction. The implementation of artificial intelligence expands these functions through automatic information analysis, document processing, and recommendation generation.

During the Scriptum demonstration, an approach was shown where AI tools are applied at specific stages of a business process without disrupting the overall logic.

For example, when processing incoming emails, artificial intelligence can recognize their content, determine the category of the inquiry, extract key details, and suggest an assignee. However, the final decision on document approval, payment execution, or contract signing remains with the employee.

A similar approach can be used in procurement, human resources, customer service, contract management, and internal document flow.

The main advantage of this model is that the enterprise gains intelligent automation capabilities without needing to transfer full control of critical actions to AI.

Benefits of Controlled AI Use

Thoughtful integration of artificial intelligence into corporate systems can provide enterprises with a range of practical advantages.

Primarily, this includes reducing the time for repetitive operations, decreasing manual data entry, accelerating document processing, and improving information accessibility for decision-making.

AI can analyze large volumes of unstructured data, prepare concise document summaries, identify discrepancies, and suggest next steps in accordance with established rules.

Integration at the level of individual steps allows for the evaluation of technology effectiveness based on clear metrics: processing time per request, number of corrections, workload on specialists, and cost per action.

Therefore, an organization can gradually expand its use of AI, guided by the results of practical tests rather than ambitious expectations.

Why AI Authority Should Be Limited

Along with promising capabilities, the implementation of AI introduces additional risks, especially when a system is granted the authority to independently make and execute decisions with legal, financial, or organizational consequences.

Even advanced language models can generate inaccurate information, misinterpret context, or draw incorrect conclusions based on incomplete data. In the corporate sector, the consequences of such errors can include incorrect payments, breach of agreements, leakage of confidential information, or erroneous decisions regarding clients and personnel.

A particular threat is the granting of excessive access rights to corporate systems for AI agents. If an intelligent agent can not only analyze data but also independently modify records, delete documents, approve operations, or conduct payments, an error or malicious manipulation will lead to significant consequences.

Therefore, one of the fundamental principles must be a clear delineation of authority: artificial intelligence performs defined functions, while critical decisions undergo human review and approval.

"We see great potential for artificial intelligence precisely in its integration with corporate business processes. However, the effectiveness of automation should not be measured by the number of decisions a company has handed over to an algorithm. It is much more important to correctly identify where AI can assist a person and where mandatory human oversight is necessary. In business process management systems, this is particularly crucial, as each action can be part of a complex chain of legal, financial, and managerial decisions," noted Serhii Balashuk, Director of LLC IQUSION IT.

The European AI Act: New Requirements for Responsible Artificial Intelligence Use

The issue of controlled AI implementation is gaining particular significance in the context of European regulation.

The European Union's Artificial Intelligence Act (AI Act, EU Regulation 2024/1689) introduces a risk-based approach to the development and use of AI systems. The scope of obligations depends on the technology's purpose, the nature of its application, and the risks to human rights and safety.

For systems classified as high-risk, the legislation mandates requirements for risk management, data quality, technical documentation, event logging, transparency, human oversight, accuracy, reliability, and cybersecurity.

The principle of human oversight is of particular importance. It stipulates that high-risk AI systems must be designed in a way that authorized individuals can adequately monitor their operation, understand their limitations, evaluate their results, and, if necessary, intervene in the system's operation or stop it.

At the same time, the AI Act does not establish a general ban on autonomous AI actions nor does it require human approval for every operation. Specific requirements are determined by the risk category and the organization's role in the system's application.

For businesses operating in European markets, this means the necessity of considering regulatory requirements already at the design stage of digital solutions. Furthermore, the use of AI in HR procedures, employee evaluations, or other sensitive areas requires particularly thorough legal assessment.

Scriptum for Phased Implementation of Intelligent Automation

The approach to using AI in the Scriptum system, demonstrated during the presentation, involves integrating intelligent functions into managed business processes with defined execution rules and responsibility distribution.

Thanks to this, corporate clients can start with individual tasks—document analysis, inquiry classification, information retrieval, or drafting decision proposals—and gradually move to more complex scenarios.

According to LLC IQUSION IT specialists, the combination of artificial intelligence capabilities with formalized business processes, controlled access rights, and human oversight can form the basis for secure digital transformation.
